Location: Canada Waters, London

Contract Type: Full Time, Permanent, 42.5 hours per week

We are looking for proven Sales and Event Executives to join our quickly expanding team as we are on track to activate 10 new venues in the next 12 months!

These venues will be really varied and look to include roof terraces, townhouses, multi use warehouses venues, festival sites and leisure spaces. You will have previous venue sales experience in selling a range of corporate, brand and filming events and be excited by working to help facilitate events for brands such as Nike, Netflix, Dior, Lamborghini, Facebook and Cisco. Each venue will have its own unique character and narrative which you will help to develop and then commercialise – from Fashion Shows to formal Banquets – these venues will deliver it all.

The roles will be the sales lead for each new venue and will also include occasional on the day event delivery of our portfolio of venues. You’ll be focused on establishing venue spaces that are truly flexible in order to really maximise hire revenue.

You’ll need to be ready to be hands on in the refinement, activation, sales and delivery of these event spaces, ready with proactive ideas about how we maximise revenues, market the venues and how we deliver exceptional events. We are looking for an enthusiastic self-starter with a proven sales track record, who is happy to jump in on all levels of project – from working on the launch of a new venue to greeting guests and driving sales.

In short, it’s an incredibly varied opportunity with the opportunity to really take ownership of this new role, you’ll be in a position to experience the event and venue process end to end and get to work with great people who will give you the opportunity to flourish. Even if you aren’t directly working on them, you’ll get exposure to our portfolio of 12 venues including Printworks, The Depot, Landing Forty Two, Dock X, Thirty Eight Grosvenor Square and more.

The Spaces & Stories portfolio consists of 12 ground breaking venues which we exclusively manage and operate. We are constantly expanding, with an anticipated 10 new venues opening this year, making Venue Lab the go-to for new and previously undiscovered spaces. What we’re looking for:

We are looking for a Sales and Events Executive superstar to join our busy team. You will have previous venue sales experience in selling a range of events and shoots and be looking for your next step.

Day to day you will handle incoming enquiries and be planning events and lending admin support to the wider team, or you will be on site, in the venues delivering operations for shoots and small scale events. It’s an end to end role where you will see the event from enquiry stage, through to confirmation, planning, delivery on the day and then follow up.

There will be an element of support to the wider team as part of this role, potentially supporting on multiple venues and even assisting with new venues in the lead up to their opening, it’s truly a unique opportunity.

To be successful you will have one year’s experience working in a dedicated events venue. You will have a head for multi-tasking, be able to prioritise, be able to work under pressure with strong attention to detail and accurate event administration. You’ll need to be comfortable with data processing, invoicing, writing function sheets and high volumes of email.

What you’ll be responsible for:

  • Using client and sales skills to convert enquiries to bookings to ensure the venue meets its proposed monthly and annual targets
  • Taking day to day bookings, telephone and email enquiries, sending successful quotes and relevant marketing collateral to clients as required, raising contracts and invoices using our bespoke events management system (Event Works).
  • Sitting between the Sales and Operations function to support both sides to deliver events and shoots at the venue successfully.
  • Confidently planning, coordinating and delivering shoots and small-scale events, taking them from enquiry to delivery stage.
  • Ensuring data entry into Event Works is as per Venue Lab guidelines to ensure information is correct and to allow for accurate reporting.
  • Carrying out site visits and recces with clients at every opportunity. Show clients the venue and explain the space and options for various events, filming, catering and production packages, as well as logistics relating to install and derig.
  • Understanding the full sales to operations process of the event journey.
  • Meeting and greeting clients on event days.
  • Event / Shoot / Venue management as and when required.
  • Conducting post event follow up research with the client with the aim of securing repeat business or new business for the wider Spaces & Stories portfolio.
  • Ensuring all events are invoiced and reconciled on time, from the deposit schedule through to balance and commission invoices, chase late invoices and debt management.
  • Facilitating the client liaison with the venue’s production and catering suppliers
  • Providing admin support to the wider Spaces & Stories team
  • Following and contributing to the venue’s key account management plan which retains clients and develops new business relationships for the portfolio.
  • Attending networking events, exhibitions and other promotional activities as and when required to actively promote Spaces & Stories.
  • Keeping up to date with event industry trends and recognise new and suitable opportunities.
  • Ad hoc duties and administration as and when required.

You’ll need to have:

  • At least 1 year of experience working within the event industry.
  • Previous experience of selling profitably, maximising sales and achieving targets.
  • Feel confident in delivering photo shoots and smaller events on the day solo
  • A head for multi-tasking to manage various tasks and events including the nuances of each client’s requirements.
  • Working knowledge of the London venue market and key venue finding agents.
  • Excellent communication skills – verbal and written, with an excellent telephone manner, and strong client-facing skills.
  • A high attention to detail and strong organizational skills
  • The ability to work to short turnaround times, and work under pressure.
  • Ability to work with clients on all levels, including demanding and complex clients.
  • Proficient in Microsoft Office packages to include Word and ExCel, with a specific Ability to stay calm and focused under pressure.
  • Proficient in the use of Mac computers, including Mac mail programmes and G Suite.
