Purpose of the Role

Reporting to the Process Manager, the Processing Plant Administration Coordinator is responsible for coordinating the processing department business activities.

Key Areas of Responsibility and Duties

  • Assisting with the Operating budget compilation, Operating budget performance and analysis and reporting for both the Metallurgy and Maintenance business units.
  • Liaising with the Nouakchott office staff with regard to business support services and information from a fiscal perspective
  • Liaising with the Nouakchott office for the management of Expatriate travel, site onboarding, visa and work permit management.
  • Overseeing the Processing Department administrative activities including rosters and time keeping management.
  • Liaising with the site contract camp manager to ensure accommodation and services are efficient and of high standard.
  • Ensure that the Process plant mess facility is maintained to a very high hygiene standard.
  • Ensure that the meal quality at the Process Plant mess is compatible or exceeds the stands of other mess facilities at the Tasiast site.
  • Maintain quality communication with the various groups such as the Processing department workers delegates to ensure communications are disseminated and legitimate requests are forwarded to the Department Manager in a timely manner.
  • Monitoring and assisting IT and communications functions inclusive of support equipment such as phones and photocopiers.
  • With support from the IT department, maintain responsibility and control for the Processing Department network drive.
  • Provide support and training to JDE users as appropriate.
  • Liaising with the HR & Training department maintain an accurate departmental organigram.

Specific Duties

  • Enforce / support safe working practices and OH&S standards.
  • Enforce and monitor the Kinross business code of conduct.
  • Participate in safety/toolbox meetings and general information sharing forums.
  • Provide support and guidance to the department management as required.
  • Improve site business standards to achieve and maintain legal compliance.
  • Manage timely reporting functions to agreed recipients.
  • Ensure reports / deliverables / requests are professionally compiled and presented on time.
  • Be a proactive participant in the Strategic Business Planning and Operational Budget processes.
  • Oversee the quality and efficiency of transportation systems for the management of employees
  • Ensure the site IT systems are being managed and maintained to achieve the required security, integrity and functionality levels to support the department.
  • Monitor and intervene when necessary to ensure the supply chain department provide levels of support to maintain maximum business optimization
  • Actively participate with, contribute to and support the department’s leadership team members.
  • Provide support and guidance to the department employees as required, but not engage in HR related matters.
  • Monitor and assist the processing department activities, particularly budget controls and relations with Contractors, Consultants and other Tasiast Departments.
  • Participate in learning and development activities to maintain personal development skills.

Minimum Qualifications & Skill Requirements

Mandatory Requirements for this position:

  • University degree
  • High-level fluency and literacy in English, French and Arabic languages.
  • Have a high-level competency in MS Office packages.
  • Ideally competent in MS Projects
  • Excellent time management
  • Able to consistently demonstrate initiative
  • Able to Work with Expatriates of many nationalities
  • Proven history of performance in a similar role
  • Good inter-personal and communication skills with a high level of self motivation and initiative
  • Ability to communicate, transfer knowledge and coach others.
  • Good documentation and presentation skills.
  • Ability to work autonomously and with minimal external guidance.
  • Good coordination and organizational skills
  • Ability to liaise effectively with other departments and to support the Processing departmental operations
  • Be flexible to accommodate critical role specific events / deadlines.

  • Able to make sound decisions quickly

Desirable Skill, Knowledge, Training, And Experience

  • Previous experience with JDE and other Asset Management Software
  • Knowledge and capacity to interpret and apply relevant legislation, policies and procedures
  • A working knowledge of company HR, cost control and administrative
