Project 3 Mobility is looking for a highly motivated and passionate People Operations Specialist to support a fantastic team and its collaboration, to drive overall employee experience of our Team.
People Operations Specialist will support our growth plans and efficient functioning of the office by providing support through a range of HR tasks, operational and administrative, financial and managerial tasks. Doing all that, People Operations Specialist will have a significant impact on our fast-growing project. People Operations Specialist will collaboratively work with all departments, to ensure that the team and its office operates smoothly and efficiently by driving and improving HR activities, policies, processes and procedures.
This is an important role for us, and requires you to be a high and right ‘fit to the team’ in a sense of looking at the same direction, sharing the same values, and appreciating each other’s differences in order to be able to keep the company values and behaviours on a high level. Therefore, People Operations Specialist will also support our Team by building a great understanding of our culture, and driving our activities, making sure that we continue to develop our engagement, communication, and collaboration.
We expect the candidate to have 4+ years’ experience within HR or People Operations development solutions. Preferably, the candidate has experience in office and administrative related jobs. Likewise, the candidate needs to have the ability to work well in dynamic, fast-paced environment and to take the ownership for all assigned responsibilities. The candidate needs to be an excellent communicator, approachable, adaptable to change and able to prioritise effectively.

REGULAR TASKS
- Supporting and managing all internal HR processes:
- Managing the relationship with HR agencies, accounting suppliers, insurance companies and governmental agencies/offices
- Managing employee onboarding and assisting with the new starter inductions/new employees to get settled in UK
- Supporting and managing recruitment process – from selection process and hiring to drafting contracts and onboarding new team members
- Carrying out check-ins with the new starters for continuous improvement, and give additional support if required
- Managing candidates, communication and maintaining internal candidates’ base
- Building rapport with candidates and keeping them updated with their applications
- Managing the HR systems with starters, leavers, and internal changes
- Updating our People page on internal systems, including the Employee Handbook and internal processes
- Manage day-to day office operations to ensure expected service level can be met efficiently, reliably, and economically
- Supporting safety, security, and emergency response execution of the office (Managing Health & Safety actions, including DSE assessments)
- Working with accountants: Supporting the process of reconciling all P3 UK invoices with the P3 UK bank account, and authorising payments through banking portal
- Ad hoc: organising and coordinating meetings, events, workshops – including venue bookings, invitations, coordinating social events (and ad-hoc visits and gifts)
- And other projects and tasks as directed by the line manager
RESPONSIBILITIES
- Organising the office, making sure to keep the place running smoothly, being a point of contact for all employees in UK Office in HR field
- Contribute to the whole end-to-end recruitment an onboarding process
- Supporting managers with our recruitment processes and procedures, including interviews
- Championing our employer brand, our culture, behaviours, and values
- Keeping up to date with recruitment trends in the tech industry
- Acting as the first point of contact for all recruitment queries
- Lead office renovation, expansion, relocation, and new office setup, manage office space include seating, vacancy forecast and planning
REQUIRED SKILLS AND COMPETENCIES
- Bachelor or Master’s degree, preferably in business specialising in Human Resources
- Excellent verbal and written communication skills
- Excellent interpersonal and conflict resolution skills
- Excellent interpersonal and conflict resolution skills & ability to build strong relationships
- Excellent organisational skills, diligent and attentive to detail
- Strong analytical and problem-solving skills
- Ability to prioritise workload and work well under pressure
- Ability to handle sensitive and confidential information
- Previous experience organising events, training, and workshops
- Ability to work in a changing environment, proactively responding to changing requirements
- Works well as part of a team but is a self-starter and can work independently
- Administrative skills developed
- Problem solver and adaptable to new ideas
- Experience in a “Startup” business is desirable
