Job summary

We are seeking a highly organised Clinic Manager who will be accountable for key deliverables such as commercial growth, clinical compliance, operational site efficiency/excellence, and high-quality, client-centred care. You will set the tone and culture within the clinic and will be given full departmental P&L responsibility.

The successful candidate will provide excellent and managerial leadership and appropriate advice and support to other staff in the team. You will work closely with the Medical and Boutique Managers to support the Clinic General Manager in the overall running of the clinical environment. You will champion exceptional customer service, create a happy working environment for employees and ensure continued financial growth. Key responsibilities:

  • Overseeing the day-to-day running of the Skinesis Clinic ensuring clinical governance and quality assurance, the maintenance of a safe working environment and the operational management of the practice
  • Overseeing all elements of the site, including but not limited to: Landlords, building maintenance, cleaning, IT services, floristry, F&B, laundry, PAT Testing, CCTV, etc.
  • Ensuring effective channels of communication throughout the clinic at all times
  • Team Management; ensuring motivation and performance across the team through timely and efficient onboarding, training and development, regular performance management and handling of disciplinaries/grievances
  • HR management: including staff rotas, annual leave, sickness, incentives and payroll assistance. Ensuring always that appropriate cover is available for all absences such as annual leave, sickness, or meetings for all staff
  • Writing Job Descriptions, recruiting and onboarding new staff within the Team
  • Managing a very busy reception team
  • Ensuring the client journey is seamless and complete, resulting in customer retention and happy customers
  • Managing the appointment system (Pabau) – ensuring that client data in the CRM is clean and entered fully and correctly
  • Monitoring reasons for Client dissatisfaction or attrition and taking any action required
  • Optimising all parts of the customer journey to drive growth and revenue (pre-clinic, in clinics, sales, service delivery, aftercare, stakeholder engagement)
  • Focusing on customer service, bookings and retail sales to optimise revenue, to understand the financials, drive the business forward and hit budgeted targets
  • Creating systems, processes and SOPs to drive business performance and ensuring these are adhered to at all times
  • Developing department financial P&L’s, working towards performance targets and managing the forecast budget.
  • Undertaking Pabau finance, KPI’s and marketing reporting
  • Compliance: Maintaining policies and record-keeping, arranging health & safety/fire audits, risk assessments for building and staff, infection control, staff files, training, patient notes in accordance with CQC/Health & Safety regulations
  • Comply with CQC regulatory framework (record keeping, logs, audits, assessments)
  • Upkeep of required annual training courses, eg: BLS, Safeguarding, Infection Control, etc.
  • Ensure that the site complies with all aspects of Health & Safety legislation by maintaining health and safety policies, undertaking risk assessments, complying with the requirements of COSHH and RIDDOR
  • Overseeing the Head of Technology to ensure equipment maintenance and management
  • Managing and following COVID-19 guidelines
  • Maintaining the strictest confidentiality
  • Complying with Data Protection rules and guidelines
  • Taking full professional and legal responsibility and accountability for all aspects of your own work, including management and accountability for all staff and clients
  • Building and constantly updating knowledge on skincare, products and treatments
  • Responsible for market and trend analysis, being aware of how our industry competitors are working and evolving
  • Demonstrating a willingness to generate new ideas, to test and experiment whilst always staying on-brand
  • Writing copy to accurately describe new treatment combinations and protocols for use on web/marketing collateral
  • Working with the Marketing Manager to agree promotion of services, campaigns, and the loyalty scheme
  • Managing stock & inventory
  • Overseeing the stock ordering, delivery, and payment processes
  • Managing relationships with external agencies and suppliers, negotiating contracts, ensuring best rates and service
  • Attending trade and industry conferences and events on behalf of the business

Skills & experience needed:

  • Solid people management experience with the ability to work in a fast-paced environment and multi-task. You will have a passion for delivering world class experience within a Clinical, Spa or Aesthetic setting
  • The ability to motivate and lead a team and to drive high performance
  • A Beauty Therapy qualification at NVQ level 3 or above (or equivalent)
  • A good understanding of treatment offerings and product lines
  • Knowledge of the CQC regulatory framework would be advantageous
  • Experience with the Pabau booking system would be advantageous
  • Experience of P&L Accounts or budgetary management to control costs
  • Excellent organisational and communication skills
  • A strong understanding of statutory policies such as HR and Health & Safety
  • Excellent IT skills (Pabau, Microsoft, Google Drive)
  • Ability to manage services involving significant, complex and confidential information
  • Accountability – takes responsibility for own actions and promotes good team working
  • A genuine passion for skincare, both treatment and product
  • The ability to work with complete discretion and to meet the exacting standards that are expected from a VIP clientele
